FOCUS ON SAVING COSTS
- Keep a close watch on ad spends. This is our biggest expenditure. Switch off ads not performing on time. allocate budget judiciously
- Ask for Discounts/Offers/Deals/packages/freebies/trials from vendors/suppliers. IF YOU DON'T ASK - YOU DONT GET
- Negotiate, Negotiate, Negotiate with vendors/suppliers
- Discontinue Subscriptions, Services, packages, mobile not., office address, etc. which we do not need
- Switching off Lights/Fans/Acs/Computer/Chargers when not in use
- Take care of the company's assets and properties like Laptop, Mobile, Appliance, Furniture, etc. as your own. Use them judiciously.
BUDGET FOR:
- Marketing - Monthly spending limits to be predecided and strictly follow the same
- Petty Cash - Monitoring petty cash and deciding on spending limits
COMPANY POLICY
TIMINGS:
- 9:30 AM to 6:15 PM
- All are expected to be at their desk by 9:30 am
- Those coming in after 9:40 am would be marked late.
- There will be a lunch break of 30 minutes, and a tea break of 15 minutes
LATE COMING:
- Anyone reaching the office after 9:40 am would be marked as late
- Three late coming to the office in a month would be marked as one leave.
- Reaching after 12:00 pm would be marked as half-day leave and reaching after 2:00 pm is considered as leave taken
LEAVE ENTITLEMENT AND PROCEDURES:
- All are entitled to 3 casual leaves in a calendar quarter.
- The leave balance at the end of the financial year can be carried forward to the next financial year and can be enchased at the time of leaving or retirement in the organization.
- The above is subject to the completion of 1 year of service in the company.
- Approvals for all leaves should be taken by email in advance. Mail to Paresh sir keeping HR in CC
- Any leave taken without following the above process (except sick leave) will be treated as unpaid leave, will not be eligible for set-off against casual or carried forward leave, and will be counted as two days of leave.
- According to the new sick leave policy, any sick leave taken for two or more days in aggregate within a calendar month must be supported by a medical certificate.
HOLIDAYS:
- The company will have 10 public holidays per calendar year.
- 2nd and 4th Wednesday of the month will be the holiday.
- Any weekly off or holidays falling between the casual and/or medical leave would be counted as a leave availed.
INCENTIVES:
- Incentive structure should be clearly pre-defined and shared with employees individually.
- There should be complete transparency with employees on what they have achieved.
- There shouldn't be a delay in Incentive payment.
CODE OF CONDUCT
RESPECT TIMELINES:
- Reach office on time.
- Reach for internal/External meeting on time.
- Deliver on Committments to colleagues/ supervisor on time.
- Deliver on commitment to clients on time.
- Deliver on commitments to vendors/suppliers on time.
- Make all payments on time.
- Collect all documents on time.
- Submit all documents on time.
- Prepare and send all reports/proposals/documents on time.
TO-DO LIST:
- Make a weekly plan every Monday morning to-do list format.
- Review/add/update to-do list first thing in the morning.
- Stick to the plan during the day and tick off items.
- Review and update plan before leaving.
- Write down everything you are supposed to do and keep track.
DRESS CODE:
- Weekdays - Formal dressing is mandatory for sales staff and smart dressing for others. Jeans t-shirt not allowed .
- Suits/Blazers are highly recommended for client meetings.
- Saturdays - Smart casuals allowed.
BEHAVIOUR CODE:
- All should keep a comfortable, relaxed yet formal environment in the office.
- One should talk with colleagues politely and with respect.
- All differences should be settled amicably through discussions.
- Loose talks, Gossip, the raising of the voice, and other forms of misbehavior will not be tolerated.
- Before leaving the office, kindly ensure that all doors are locked, lights/fans/ACs/Computers, etc are switched off and taps are closed. Staff members would be collectively as well as severally responsible.
- Please keep your personal phone on silent/vibrator/low volume.
- Use a pleasing tone for a work phone.
SELF-IMPROVEMENT:
- Take initiatives.
- Read something new everyday related to industry/ product/ process/ services.
- Use tools and technologies to complete work faster.
- Acknowledge weakness and take corrective measures to improve the same.
- The company has invested heavily in training courses/Programs/Books etc. Please make the best use of the same.
COMPANY ASSETS:
- Every employee should take care of office assets as they take care of their assets.
- Office assets should not be used for personal use.
- The computers and internet facilities should be used for business purposes only.
- Use of social networking sites such as Facebook, Yahoo, etc. is not allowed other than by the marketing team, and that is too strictly for business. Downloading of Videos/Music etc. is strictly not allowed.
CLEANLINESS:
- Everyone should keep the office neat and clean.
- Keep your desk clean. Do not clutter. Keep unwanted items in drawers.
- Food/Tea to be consumed in designated areas only. Staff to avoid eating at the Desk.
- After lunch/snack the area should be cleaned.
- Teacups etc. to be washed and kept back in place.
- Before leaving please clear your desk, put items in drawers and put back chair properly.
DATA PRIVACY:
- Company data includes client data, CRM, Employee details, login credentials of social media accounts, bank and investment portfolio, salary slips, letters, Financial statements, etc.
- Access to this data should only be available for concern employees only and not to everyone.
- Confidential files should be password protected .
- Data should not be shared with any employee of another team or with any person outside the organization without approval.
- All employees are expected to change their passwords of Gmail, teams, CRM and social media channels on a regular basis.
- The above should be strictly followed and disciplinary/legal action will be taken for any violation.
TEAM
NO DISCRIMINATION/ HARASSMENT:
- Treat all equally and with respect.
- Non-discrimination based on Gender, Religion, Langauge, Caste, etc.
- Do not raise your voice. Differences/Disputes if any to be resolved amicably through discussion and supervisor intervention.
- Kindly report any instances of harassment/discrimination to your immediate superior or even directly to the CEO.
CO-OPERATION AND TEAMWORK:
- The organization's goals and individual goals are interlinked and also interdependent. Hence teamwork is of paramount importance.
- There should be proper communication and sharing of information between the team members.
- Kindly co-operate with your team as well as other team members to complete the tasks on a timely basis. All are collectively responsible for the task achievement. Do not pass on the buck.
- Be proactive and take initiative to help colleagues, especially new joiners. Do not wait to be asked.
- Use technology like google sheets/docs/task manager/project manager to efficiently collaborate on tasks.
TAKING OWNERSHIP OF WORK:
- Say what you will do and do what you say.
- Take ownership of the task.
- Do not pass it on to others.
COACHING AND MENTORING:
- Make new joiners comfortable. Help them adapt to the company culture and policies.
- Guide them in Induction.
- Be generous in sharing work-related knowledge and information with colleagues. Knowledge grows when you share.
TEAM EVENTS/ ACTIVITIES/ CELEBRATIONS:
Offsite:
- Offsite event will be planned in April each year plan for the year ahead. This will be a mix of work and pleasure.
- Agenda - Discuss plans and policies for the upcoming FY, There will be presentations by the marketing team, sales team, and operations team followed by fun activities in the evening which can help team members to know each other more- apart from work, sharing stories, experiences of life, achievements in personal life, etc.
Picnic:
- Picnic will be planned in Q2. THIS WILL BE ONLY FUN AND ENTERTAINMENT - NO WORK DISCUSSION.
Outings/Lunch/Dinner:
- The team will be going out for Lunch/Dinner on the following Occasions Diwali, New Year & Paresh's Birthday.
Festivals and Birthdays Celebrations:
- Office will be closed on festivals mentioned in the holiday list.
- We celebrate functions like Dussehra, Diwali, Christmas, etc in the office a day before holidays.
- All are expected to participate in the activities and dress codes we plan for these festivals and celebrate with the team.
- Wish all team members on festivals/occasions.
- Celebrating each team member's birthday.
Rewards and Recognition:
- Team meeting every month - 1st Monday post-training wherein we will be discussing achievements of team members. E.g. Deals are done, Successful digital Campaigns, webinars, activities, new initiatives, social media achievements, etc.
- Rewards/Recognition for achievers.
Skill Building:
- Company has training programs on Udemy, Audible , SalesGravy, etc.
- Employees should undergo these training programs which are relevant for them and upgrade their skills and knowledge in their field.
- These training programs will be held every Monday from 10 am to 12 noon.
- Training Calendar for the month to be prepared in advance.
- If any employee wants a specific training on any subject they should contact HR to get the subscription for the same.
FEEDBACK MECHANISM
FEEDBACK MECHANISM:
- Sharing feedback is an important part of organization as individual growth and development.
- Feedback should be specific, and honest at the same time it should not be degrading or demotivating.
- Feedback on specific behavior/instance should be on a real-time basis - There should not be any particular day or time to get the feedback, it should be part of a process.
- General feedback to be shared in Monday morning meetings/ Monthly Cultural meetings/Review meetings/Performance reviews etc.
PERFORMANCE TRACKING:
- Weekly Reporting as per format.
- Montly reporting as per format.
PERFORMANCE REVIEW:
- Detailed Review for the Quarter on the 1st Monday of next quarter.
- As per report Detailed discussion on what went right, what went wrong, how to improve performance, support required, etc.
